MSI's ISO 7101 Healthcare Quality Manual

ISO 7101:2023 Healthcare Quality Manual Template

$149

Your quality manual is the first document a registrar opens and the last one anybody rewrites. ISO 7101 does not require a manual, but it does require a lot of documented information, and much of it does not belong in a procedure. In our experience, the best place to keep it is a quality manual.

This template and guide gives you a complete ISO 7101:2023 healthcare quality manual to adapt, in editable Word, with an editable process map.

Your quality manual is the first document an auditor opens, and in healthcare it is the one place that shows everything ISO 7101 asks you to have in writing.

ISO 7101 does not require a document called a quality manual. It does name dozens of documented processes, procedures, protocols and plans, from credentialing and clinical records to medication safety, infection prevention, transfusion, facilities and waste. A manual brings them together: it states your scope, shows how your processes connect, and points to the document that controls each one.

This template is a complete worked manual for a fictional organization, Perennia Healthcare, which runs a 120-bed district hospital, two satellite clinics and a telehealth service. You replace the facts and keep the structure. Every decision that is yours to make is marked in square brackets.

What's included (53 pages, editable Word)

  • Numbered to the standard: each section of the manual has the same number as the ISO 7101 clause it answers, so section 8.12.4 answers clause 8.12.4
  • A one-page Start Here sheet in plain language: what this document is, what you must decide, what to do first, and what to do with the finished file
  • Scope with reasons: a worked scope statement and a table for every site or service left out, with the written reason ISO 7101 requires
  • Leadership in full: all twenty items of clause 5.1, the healthcare quality policy including services given at a distance, and every clause 5.3 role with a named alternate
  • Process interaction map in your own names, with an editable map file and a map builder that works from your organization chart
  • The naming rule: instructions for replacing ISO terms such as service user and top management with the words your people use
  • Patient safety, people-centered care and facilities worked through item by item, from patient identification and surgical safety to water, power, medical gases and contingency planning
  • Appendix A, the documentation register: every documented item ISO 7101 asks for, where it lives, and a column to mark whether you have it, need to update it or need to write it
  • Appendix B: a full clause cross-reference to ISO 7101:2023
  • Training video links: a Watch block at the end of each major section, with a slot for your own video and an MSI suggestion
  • Toolkit: scope builder, map builder, video plan and release check
  • Document control built in: header title and footer ownership statement on every page, print date and page numbering

Who it's for

Quality and patient safety leaders at hospitals, clinics and health systems preparing for ISO 7101, health ministries and non-governmental organizations building quality systems across facilities, and consultants supporting them.

Why it works

  • One register instead of a scavenger hunt. The documentation register shows in one table what must exist, so you know what to write before the auditor asks.
  • Find each requirement where the auditor looks. Because the manual follows the clause numbers, your people learn one numbering system, not two.
  • See what other standards do not ask. MSI notes point out where ISO 7101 differs, such as internal audits at least every twelve months and carrying a pilot beyond project mode.
  • Plain language where it matters. The Start Here sheet and the instructions are written to be read and used by busy clinical and administrative staff.

Frequently asked questions

Does ISO 7101 require a quality manual?
No. It requires a scope, a policy, objectives, processes and their interactions, and many documented processes and protocols. A manual holds the top of all of that in one controlled document.

Can we leave a service out of scope?
Yes, with a written reason. ISO 7101 has no list of excludable clauses; it asks for the reason behind anything not included. The manual shows how to record it.

Does it include our clinical protocols?
No. Clinical protocols belong to your clinicians and your evidence base. The manual names each protocol ISO 7101 expects, shows what it covers, and lists it in the register so nothing is missed.

Do I insert my organization chart?
No. The manual references your organization chart by number and never inserts it, so the manual does not go out of date every time the chart changes.

Can MSI help us implement it?
Yes. Call MSI at 760-434-9141 or book time with MSI.
